OS Studios partnered with ASV to transform their ambitious 2D design concept for MapleCon's 20th anniversary into an event that would engage attendees and leave a lasting brand impression.
ASV faced a tough technical and manufacturing challenge: to build a strong, durable physical installation while also honoring OS Studios' creative vision.
For each component, ASV’s engineering team chose the most effective 3D fabrication methods, while carefully considering cost efficiency, lightweight construction and stability for safety, durability and visual appeal to ensure the installation met all project requirements.

The design called for 29 individual wood panels hung over a frame structure, creating an impressive gateway experience. ASV engineered a solution around a heavy-gauge metal frame designed to support the distributed weight of all panels without sagging, warping, or tipping.
It Must Have weighed a Ton
Actually, its weight was under 200 lbs. The panels were made from Luaun plywood, a high-quality, lightweight, hardwood material. Its distinctive features—a smooth face combined with a rougher back—made it perfect for this application. Its lightweight and flexible qualities allowed for subtle curves and organic shapes while maintaining structural strength. To ensure maximum durability in critical load-bearing areas, ASV strategically used 3/4" marine plywood sections throughout the arch structure.
Fabrication used standard carpentry tools suitable for wood panel preparation and finishing. This method enabled skilled craftspeople to handpick and prepare each piece of lumber, ensuring quality and consistency.
Supporting the engineering strategy, a 1,000-pound base was used as ballast to add extra mass and stability.
ASV developed a sophisticated anchoring strategy that ensured stability without compromising visuals. The dual-anchor approach—connecting to the wall behind the tree and to the ceiling cable system—provided redundant safety while maintaining a clean appearance.
Tree Fabrication
ASV used advanced CNC fabrication technology to ensure precision and consistency across all parts. The Styrofoam elements, which formed the trunk and branch structure, were cut to exact dimensions using CNC equipment, guaranteeing that the five interconnecting sections would fit together perfectly during on-site assembly.
ASV also used the Frog Mill to shape complex curves and contours that defined the tree's organic form and visual character. A Wire Cutter handled detailed work and refined edges, enhancing the quality of each component.

Graphics for all components— including the tree, entry arch, and promotional banners—were produced using a wide range of printers available at ASV's in-house production facility. This integrated approach ensured strict quality control of every visual element and allowed for quick adjustments or refinements during production.
Before fabrication started, ASV conducted two separate site inspections. These inspections were essential to the project's success and guided every decision made during the engineering and fabrication stages. During these inspections, the team measured available floor and wall space to confirm all components would fit within the venue's physical limits. This proactive teamwork set clear expectations and protocols before installation day.

ASV’s single point of contact handled all project aspects, from initial engineering concept to final on-site supervision. For OS Studios, his streamlined communication reduced misunderstandings and ensured that every decision was made with full awareness of its impact on other parts of the project.
Event Experience and Visitor Engagement
The entry arch’s welcoming form encouraged visitors to take photos and engage. The tree's visual presence and illuminated acrylic leaf centerpiece created memorable moments that attendees captured and shared on social media, extending the event's reach beyond the physical venue. Attendees naturally gravitated toward both installations, using them as landmarks and reference points within the venue.
The installations, along with photo ops, gaming stations and arcade challenge games, successfully connected the creative idea with the physical world, showing that ambitious design visions can be realized precisely when engineering and manufacturing expertise are used thoughtfully. Instead of altering the creative vision to fit fabrication limits, ASV found solutions that respected the original design while addressing practical needs.
